PlanMates Run Sheets is provided by Ledger Whitcomb (“PlanMates,” “we,” “us,” or “our”). This policy explains what personal information the closed-group planning service handles, why we use it, how long we keep it, and the choices available to you.

Information we collect
- Account and authentication: the workspace account, email or username, user identifier, password submitted for sign-in or authenticated deletion, access token, and an app-generated device identifier. Passwords and access tokens are used to authenticate requests and are not included in the IP audit described below.
- Assigned plan workspace: group-plan assignments, attendance state, capacity and waitlist counts, schedule, broad area, organizer notes, and an exact meeting point when the organizer has authorized its display.
- On-device readiness: readiness checklist selections are stored on your device for your own use. The current app does not upload those selections to the PlanMates service.
- Technical and security: account or device identifiers needed for service operation, IP address, request category, timestamps, and security records. The API IP audit does not retain request bodies, passwords, or access tokens.
- Support: information you include when contacting the published support email, phone, or mailing address.
The current iOS and macOS apps do not provide public profiles, a public member directory, member-to-member messaging, photo uploads, precise live-location collection, advertising, cross-app tracking, third-party advertising SDKs, or an active StoreKit purchase catalog.
How we collect and use information
We collect information you submit, workspace information assigned by authorized organizers, and limited technical information sent by your device. We use it to authenticate accounts; display the correct private plan boards, schedules, attendance states, and permitted arrival details; operate account deletion and support; prevent unauthorized access, fraud, and abuse; maintain the service; comply with law; and protect participants and the public.
When information is disclosed
Workspace information is made available only to accounts assigned to the relevant plan, subject to organizer permissions. Other information may be processed by:
- GTHost: leased hosting infrastructure that we administer for the PlanMates service;
- Apple: App Store distribution, platform security, and operating-system services;
- Apple iCloud Mail: when you email the published support address;
- professional advisers or authorities: when reasonably necessary for legal compliance, rights, safety, fraud prevention, or a safeguarded business transaction.
Service providers may process information only for the services they provide and must protect it consistently with applicable law and this policy. We do not sell personal information or use it for cross-context behavioral advertising. Nevada residents may still send a verified opt-out-of-sale request to the contact address below.
Retention and deletion
We keep information only while there is a legitimate operational, security, dispute, or legal need. Our current schedule is:
| Category | Usual retention |
|---|---|
| Active account, workspace assignment, and attendance information | While the account is active and the information is needed to provide the assigned workspace. |
| Deleted account data | Removed from active systems as soon as practical and ordinarily within 30 days after an authenticated deletion request. |
| Encrypted disaster-recovery backups | Expire through normal rotation within 90 days; they are isolated from ordinary use. |
| IP and routine security-access audit records | 90 days. |
| Security, fraud, and serious safety records | Up to 24 months after resolution, or longer when reasonably necessary for an active investigation, legal obligation, or protection against serious harm. |
| Support and privacy communications | Up to 24 months after closure. |
| On-device readiness selections and access token | Until you sign out, delete the account, remove the app, or clear the applicable device storage. |
You can request permanent account deletion in the app from Account → Delete account. Deleting the app alone does not delete the server account. Information that must be retained temporarily is restricted and deleted or de-identified when the applicable reason ends.
Your choices and privacy rights
You can sign out, remove local readiness selections by removing the app, and request authenticated account deletion in the app. Depending on where you live, you may also request access, correction, deletion, restriction, objection, portability, withdrawal of consent, or confirmation of whether information is processed or disclosed. We may ask for information reasonably necessary to authenticate a request.
Email [email protected] with the subject “PlanMates Privacy Request.” We aim to acknowledge privacy requests within 10 business days and respond without undue delay, ordinarily within 45 days after authentication. If applicable law permits an extension, we will explain it. You may appeal a refusal by replying with “Privacy Appeal.”
Security and international processing
We use administrative, technical, and organizational safeguards designed for the sensitivity of the information, including HTTPS, restricted server access, scoped workspace responses, and protected device credential storage. No online service can guarantee absolute security. Information may be processed in the United States and in locations where listed providers operate; we use protections required by applicable law for international processing.
Changes and contact
We will update the effective date when this policy changes. For a material change, we will provide notice in the app, by email, or through another legally required method where required.
